Where to put your photo, logo or banner
Without a photo link, the photo layout shows a coloured circle with your initials, and the social icons are badges drawn in the signature itself, so none of that needs hosting. A photo, logo or banner is a picture, and email apps cannot show a picture stored on your computer. It needs to live on the web, and you paste its address above. Two easy ways:
- Your own website or store (best). On Shopify, open Content, then Files, upload the picture and copy its link. On WordPress, add it to the Media Library and copy the file URL. It stays as long as your site does.
- A free image host. Upload to Postimages or ImgBB and copy the direct link, the one that ends in .png or .jpg. Free hosts can remove images after a long time or change their terms, so use your own site for a business signature if you can.
Use PNG or JPG. Some email apps, Outlook especially, may not show WebP or SVG. Make the picture about twice the size it shows at, so it stays sharp on phones.
How to add it to your email
- Gmail. Settings (the gear), See all settings, General, Signature, Create new. Paste, then Save changes at the bottom.
- Outlook on the web and new Outlook. Settings, Accounts, Signatures, New signature. Paste, then Save.
- Outlook for desktop. File, Options, Mail, Signatures, New. Paste, then OK.
- Apple Mail. Mail, Settings, Signatures. Pasting rich layouts is less reliable here, so send a test to yourself.
Outlook for desktop draws rounded corners as square ones, so badges and the photo circle may look square there. Always send a test to yourself, and open it on your phone, before you rely on it.
